This Privacy Policy explains how Hair by Nicole Kristina (“I,” “me,” or “the business”) collects, uses, and protects information when you visit this website, submit forms, or book services. I take privacy seriously and only collect what’s needed to serve you well.
1. Information I collect
Information you provide directly
- Contact information: name, email, phone number, when you submit the inquiry form or schedule an appointment.
- Service preferences: the services you’re interested in, your hair history, scheduling preferences.
- Pre-appointment intake: medical disclosures (allergies, conditions, medications affecting hair/skin), chemical hair history, and consent acknowledgments before service.
- Photo consent: your stated preference for photo and marketing use of your hair (full consent, hair-only, or decline).
- Payment information: processed via secure third-party processors (credit card, Venmo, Zelle). I do not store full card numbers.
Information collected automatically
- Website analytics: basic browser and device information, pages visited, referral source, approximate location based on IP address. Used to improve the site.
- Cookies: session cookies for site functionality. No third-party advertising cookies.
2. How I use your information
- To respond to your inquiry and schedule appointments
- To prepare safely for your service (medical disclosures, chemical history)
- To send appointment confirmations and reminders
- To process payments and issue receipts
- To send service-related follow-ups and aftercare reminders
- To comply with California professional licensing record-keeping requirements

3. How I share information
I do not sell your information. I share data only as follows:
- Service providers: Payment processors, email service (Gmail), website hosting (WP Engine). These providers process data only as needed to provide their services.
- Legal compliance: If required by law, subpoena, or to protect rights, property, or safety.
- With your consent: Photos shared on social media or website only if you’ve given photo consent on your intake form.
4. Photo and marketing use
I photograph hair work for portfolio and marketing purposes only with your written consent on the pre-appointment intake form. You may choose:
- Full consent: Hair and identifying features (e.g. face) may appear in photos used publicly.
- Hair only: Hair may be photographed but face and identifying features will be excluded.
- Decline: No photos taken or shared publicly.
You may revoke photo consent at any time by emailing hairbynicolekristina@gmail.com. Photos already published may not be removable from third-party platforms but will not be used in new marketing.
5. Medical information confidentiality
Medical disclosures on the intake form (allergies, pregnancy, medications, etc.) are kept confidential and used only to provide safe service. They are not shared with anyone outside the business except in genuine emergencies.
6. Data retention
I retain client records as required by California Board of Barbering and Cosmetology regulations and for normal business purposes:
- Service records: 5 years after last appointment (for professional and legal purposes)
- Intake forms with consent acknowledgments: 5 years
- Inquiry forms (no appointment made): 1 year then deleted
- Payment records: 7 years for tax compliance
- Photos with consent: Retained indefinitely unless you revoke consent
7. Your rights
You have the right to:
- Request a copy of personal information held about you
- Correct inaccurate information
- Request deletion of your information (subject to legal retention requirements)
- Revoke photo consent at any time
- Opt out of marketing communications

8. California residents
Under the California Consumer Privacy Act (CCPA), California residents have additional rights including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. I do not sell personal information.
9. Children’s privacy
Services are intended for adults. I do not knowingly collect information from anyone under 18 without parental consent. If a minor is to receive services, a parent or legal guardian must accompany them and sign the intake form.
10. Security
I take reasonable measures to protect information from unauthorized access, including secure forms and encrypted payment processing. However, no system is 100% secure. I will notify you if a breach affects your information, as required by law.
11. Changes to this policy
I may update this policy as needed. The “Last updated” date at the top reflects when changes were made. Significant changes will be communicated via email if you’ve provided one.
